Most website owners learn quickly that article writing is an essential tool for promoting their site. Being the owner of an article directory, I review article submissions and have developed a whole new perspective on what a good article should or shouldn’t contain. Hopefully my perspective will aid writers in developing articles that are appealing to the reader. Writers sometimes seem to forget that their articles can provide benefits beyond search engine ranking. A search engine doesn’t care about content or intelligibility but readers do. An article placed in prominent directories can receive a considerable number of views if the title and description are enticing. Once enticed, your article must keep the attention of your reader focused throughout the entire article. The resource box at the end of your article is like your pot of gold at the end of the rainbow. If you have given the reader good information and properly stimulated his curiosity, then he will visit your site. Congratulations, your writing skills have just accomplished what you wanted a search engine to do. Make certain you write articles that are intriguing and easy to read. Embrace the reader’s trust by giving them the informaton they came looking for. If the reader finds what he is looking for and has a pleasant experience in the process, he is likely to visit your site. In today’s world people are bombarded by information. Our attention span grows shorter each day and as a result your article has to be immediately engaging. Anything that requires your reader to stop and think about what he has just read will likely stimulate him to move on. If this happens, your resource box may as well be on another page. With a quick scan of the title and first paragraph, I can generally determine the quality of an article. A first sentence that should have been three or four sentences, or at least had a few commas, lets me know immediately that I’m in for a tough read. Save some of your information for the rest of the article. If you tell me everything I need to know in the first sentence, then why should I read the rest of the article? Make your opening sentences concise and intriguing. Compel your reader to read the rest of the article. Adjectives and adverbs are a great tool as long as they are used correctly. There should never be three or four adjectives or adverbs for a single noun or verb. In most cases a single adjective or adverb will do a better job. Suppose I told you this was the best greatest most magnificent and outstanding article ever written. (Sorry, I almost lost you didn’t I?) Obviously, “best” is the only adjective I needed. By definition, there is no better than “best”. Believe it or not, I review a lot articles that are packed full of redundant, confusing and boring adjectives and adverbs. Avoid this mistake, use the correct descriptive word and your reader will get it. Any more and you’ll loose your reader to boredom or even worse a lack of confidence in your abilities. I plan to continue this advice in additional articles, but in the meantime, consider the following: 1. Do not use run on sentences. 2. Comma’s are free. Use them. Readers seldom have the patience to figure out what you’re trying to say. 3. Use the correct descriptive words. Adding descriptions to descriptions will cost you your reader. 4. Use proper grammar. If necessary, get help. 5. Check your spelling. Watch out for software that fills in words for you. Type in “ant” instead of “and” and everywhere you meant to have the word “and” you will find the word “ant”. Put the reader first. Make your articles intriguing, informative and easy to read. Very few people know that during the mid 1940’s, near the end of the second World War, a new type of rifle shell was invented. It was made of Nickel and an unknown alloy, wrapped around a thirty caliber, lead tipped, hollow point bullet. A special rifle was also designed to shoot these prototype bullets and had one unique feature. This feature was designed just below the rifles stock, as to receive spent shells, so that they may be re-used. This special retainer was affectionately called, the Tin, by those who shot these rifles. When they worked, these rifles and new ammo proved exceptional and superior to all other thirty caliber, semi-automatic weapons. However, ninety percent of them failed to fire in various degrees and the military had no time to correct these errors. They were soon disbanded for the more conventional weapons. The only remnants of their short existence remaining today, is in an unknown museum, marked simply as, TIN OF NICKELS. Technology vendors often contribute bylined articles to trade journals. The articles are great exposure for these companies but they don’t come cheap - the trades rarely pay for these articles but the vendors spend time and resources to assign pieces, write them, approve them and submit them. Your PR agency can help your clients leverage their investment by wringing top value out of these articles. Here are some possibilities: 1. Reprints 2. White papers 3. Product briefs 4. Booklets 5. Speech outline and handouts Reprints It’s pretty galling to contribute a byline to a publication, only to turn around and spend major bucks for reprint rights. But reprints are good things: they significantly increase your client’s exposure to the market. Make sure you use the reprints anywhere you can, including press kits, presentation handouts and conference take-aways. Post them on your site too. Even if you haven’t paid for electronic rights you can probably link to the publication’s URL, assuming they’ve posted your article online. (It doesn’t hurt to ask.) If you’ve got digital reprint rights and are posting the article on your client’s site, avoid using a scanned hard copy of the printed article - the resolution is poor and not very readable. Create a .PDF file and use that for posting and downloading. White Paper Please don’t use the published article as is for a white paper — even if you retain all rights it’s shamelessly self-plagiarizing, and if the publication retains all rights it’s rather criminal. However, you can use the article text to form the technology section of a white paper. Edit for length as necessary and re-work the text to emphasize your client’s product and technology take. Then add white paper elements like a beginning executive summary and a problem statement. Follow these with your technology section, and then add details on how your client’s product will solve the problem, a customer case study, and a conclusion on how great the product is. (You can always switch the order by writing a white paper first, then editing the technology section into a bylined trade journal article.) Product Briefs The article can serve as a great basis for expanded product briefs - say the front and back of an 8-1/2×11, or a longer technical brochure. Edit the article for length and jazz up the text, and you’ve got a solid technology basis for the marketing document. (Good marcom can explain what a NAS gateway is, but not by yammering about “enterprise-wide intelligent data management portals.” Puts readers right to sleep.) Booklets One of the best press kits I ever saw included a sharp and informative booklet on the vendor’s technology. The booklet explained the general technology’s development and background, presented the vendor’s product, and listed clear customer advantages. It impressed both journalists and customers in a way a press release or even a white paper wouldn’t have done. Booklets are labor-intensive, so use your trade journal article as the basis for writing your own. Speech Outline and Handouts Use existing articles as the basis for client speeches and presentations. Since trade journal articles are usually vendor-neutral, they’ll work as-is for similar talks. When the presentation is about a product you can still use the article outline for the background technology and analysis then add product details, customer case studies, and Q&A’s. You can use article reprints as a handout, or turn the outline into speaker’s notes and use that instead. If your client gulps at the cost of developing a trade journal article, don’t leave them gasping for breath - list all the ways they can leverage it to increase market exposure and profits.
